Syspro licence change 2026

Leaving Syspro? Get a working ERP, not just your data.

Syspro is ending its licence model and moving every customer to a named-user subscription. If you would rather leave, we move your data and give you an ERP to run on: an interim system to keep you trading, then the right long-term ERP, such as Microsoft Dynamics 365.

In short

Syspro licences expire on 31 October 2026 outside the US and 31 December 2026 in the US. After that, staying on Syspro means a new agreement: a multi-year subscription, or a separation agreement that moves you to read-only. Leaving takes two things: your data moved safely, and a working ERP to run on the day you stop. Most offers on the market give you one or the other. Bridgeway gives you both.

What manufacturers are telling us

The choice you are being given, and the one we offer

Syspro customers we work with describe the same pressures. We have taken out the names and kept the problems.

Sign for three years or lose full use.

The choice arrives close to the deadline, with little time to look at anything else.

Years of licence fees, and no credit.

Fees paid over a long relationship do not carry forward into the new model.

Read-only does not ship orders.

Separation terms keep your history visible, but you cannot raise an order, receive stock or invoice.

How it works

Four steps from Syspro to your new ERP

Each step is scoped and priced before it starts, and you can stop after any of them. Timelines for steps 2 to 4 are set from what we find in your system, not promised up front.

  1. Step1

    Exit assessment

We review your Syspro modules, users, record volumes, customisations and contract dates, then set out the 3-year cost of staying, a data-only move and a complete exit.

    TypicallyAbout 5 working days
  2. Step2

    Data rescue

A full copy of your Syspro database, a nightly backup until you switch over, and a searchable archive of your history, so nothing is lost when access changes.

    TimelineSet by data volume
  3. Step3

    Bridge ERP live

A working interim ERP on your own servers, loaded with your customers, suppliers, stock, bills of materials and open orders. Your team keeps trading while the long-term ERP is built.

    TimelineAgreed after discovery
  4. Step4

Your long-term ERP (Microsoft Dynamics 365, another ERP, or a bespoke platform)

Discovery of how you work, then build, migration of your cleansed data, training and go-live on the ERP that fits your manufacturing. For complex manufacturing we usually recommend Microsoft Dynamics 365 Finance and Supply Chain Management.

Syspro exit FAQ

Questions manufacturers ask us

Last updated 3 November 2026

Your licence and your agreement

What happens to my Syspro system after my licence expires?

Under Syspro's formal notice of 15 July 2026, licences outside the US expired on 31 October 2026 and US licences expire on 31 December 2026. After expiry you can no longer use Syspro unless you have signed a new subscription or another agreement with Syspro.

What is the difference between a subscription and a separation agreement?

A subscription keeps full use of Syspro, typically with a multi-year minimum term. A separation agreement gives a limited period of full use while you leave, followed by read-only access to your records. Check the term, the price, any date by which the offer must be accepted, and exactly what read-only allows before you sign either.

Can I keep Syspro running for a short time while I move?

Some customers have agreed short extensions. If you ask for one, get the end date, the price and what happens on the day it ends in writing, and use the time to secure your data and get your next system ready.

Do I get credit for the licence fees I have already paid?

Syspro's notice says an Initial Licence Fee covered only the term in force when it was paid and does not carry forward as a right to use the software after expiry. Ask your account manager in writing what, if anything, is credited.

Can the subscription price go up during the contract?

Syspro's General Terms allow annual fees to be increased during a contract period, with no stated cap. Ask for a fixed price for the whole term in writing before you sign.

Should I take legal advice?

If you think the change conflicts with your agreement, yes. We are not lawyers and do not give legal advice. We can give your solicitor a clear timeline of your licence, your agreement and the options you were offered.

Your data

Is read-only access enough to run my business?

No. Read-only lets you look up history, but you cannot raise orders, receive stock, build to a bill of materials or post invoices. You need a working ERP before full access ends.

How do I keep my history for audits and tax purposes?

Take a full copy of your Syspro database before access changes, and keep a searchable archive. Syspro's notice gives you the right to export your data on request; ask before your expiry date. Tax authorities in most countries require business records to be kept for several years, so check the rule wherever you trade.

How much history should we move to the new ERP?

Usually your master data, open balances, open orders and a recent period of transactions. Older history can stay in a searchable archive. We agree the cut-off with you during discovery.

Can you handle a large Syspro database?

Yes. Databases with millions of records, lot and serial traceability or custom fields need staged loads and reconciliation reports at each stage. We size this in the exit assessment before quoting.

Moving to a new ERP

Is data migration enough to leave Syspro?

No. Migration moves your records, but you also need a configured ERP to receive them, with your processes, users, reports and integrations set up. Bridgeway delivers both, under one contract.

Which ERP should a manufacturer move to?

It depends on how you make things. Microsoft Dynamics 365 Finance and Supply Chain Management covers complex manufacturing and multi-site operations. Other ERPs, or a bespoke platform, can suit simpler or very specific needs. We recommend one after discovery, not before.

How long does a move from Syspro to Microsoft Dynamics 365 take?

It depends on your modules, data volumes, customisations and integrations, so we only commit to a timeline after discovery. A Bridge ERP can keep you trading while the long-term ERP is built.

Can the interim ERP run on our own servers?

Yes. The Bridge ERP can be installed on your own servers, so your data stays on your premises while you move.

What happens to our reports, integrations and customisations?

They are listed in the exit assessment, then rebuilt or replaced in the new ERP. Some are no longer needed because the new system does the job as standard.

Who owns the system and the data afterwards?

Your data is always yours. Licence, support and exit terms for the software are agreed in writing before any build starts, including what your own team can run later.

I already signed with Syspro. Is it too late?

No. Start planning 12 to 18 months before your term or full-use period ends so you can leave on time without paying for another term.
